Abstract
This research focuses on developing an online system to manage the activities of the Youth Union at Vinh Long University of Technology Education. The primary objective of this research is to address the limitations of traditional management methods, which heavily rely on paperwork and manual notification processes, leading to various inconveniences and inefficiencies. The proposed system aims to comprehensively manage information about union members and students, including record submission, membership fee management, and Youth Union activities. The research utilized PHP Framework along with web technologies such as HTML, CSS, and JavaScript to develop the website. This website not only supports meticulous and systematic information management but also helps in widely and quickly promoting activities to union members and students. Although significant goals have been achieved, such as building a user-friendly interface and implementing a practical database system, the research still faces some limitations, such as a suboptimal user interface in terms of aesthetics and incomplete functionalities like password recovery and record withdrawal. In the future, this system has strong potential for further development, particularly with plans to expand its functionalities to mobile devices and enhance user experience by integrating new technologies like QR code scanning and citizen identification.
Introduction
The Youth Union and Student Association movements at Vinh Long University of Technology Education are growing vigorously, but the management of these activities remains manual and inefficient. Notifications through paper and group chats do not clearly highlight the achievements of the Youth Volunteer movement, resulting in activities not reaching the union members and students effectively. Furthermore, managing student participation in social activities is not given adequate attention, relying mainly on paper and image storage, which leads to unnecessary disputes. To address these limitations, it is essential to develop an online system to manage Youth Union – Student Association activities
Currently, although there are several websites related to the Youth Union and Student Association at the university, none of them effectively address the management of activities and related information. This project focuses on developing an online system to manage Youth Union – Student Association activities, member information, and membership fees. The system will consist of two main modules: information dissemination and activity management. It will improve management efficiency, monitor the development of movements, and enhance the management of membership records compared to the current manual methods.
Proposed Method
System Requirements Specification:
Vinh Long University of Technology Education needs to automate the management of records and Youth Union activities due to inefficiencies and inadequate promotion from current manual processes. The computerized system should manage:
- Member and Student Records: Personal information, union books, and cards.
- Departmental Union Management: Oversight and task assignment by the Union Executive Committee.
- Team/Group/Club Management: Information about teams, groups, clubs, and member management.
- Activity Management: Tracking and promotion of activities, including details, participants, rewards, and disciplinary actions.
- Fee Management: Monitoring fee details and ensuring financial transparency.
- Union Book Management: Automating the tracking of union book statuses.
- Statistics and Reporting: Generating reports on members, activities, and financials.
The system's goal is to enhance management efficiency, promote activities effectively, and boost participation.

Conclusions
The system meets the project's goal of developing an online system to manage Youth Union activities at Vinh Long University of Technology Education, featuring a user-friendly interface and a practical database. However, further development is needed to extend the application to mobile devices, enabling members and students to register for activities quickly and efficiently through QR code scanning. Additionally, incorporating a feature for verifying identity cards or citizen identification for members and students would enhance the system's functionality.
